The monthly price is clear but the cost of leaving often isn’t.
When you compare IT proposals, the recurring fee is usually easy to find. You can see which services are included, compare support hours and ask what happens when something goes wrong.

But there is another question worth asking before you sign:
If we need to change providers in a few years, what will it take?
It can feel like an awkward question at the beginning of a relationship. Yet the answer matters, whether eventually you switch providers, bring more work in-house or change how your infrastructure operates.

Imagine that your business has decided to move to a new IT partner. The reasons are reasonable: your requirements have changed, your internal team has grown, or you need expertise your current provider does not offer.

This is when the handover begins.

Your new partner needs administrator access, current documentation and a clear picture of how the systems connect. Some information is available, other details sit in old tickets, outdated files or conversations with the engineer who originally configured the environment.

Before anyone can confidently make changes, they have to work out what is there.

That discovery takes time, it can also add cost and delay to the transition.

A low monthly fee does not automatically mean a poor IT contract. But when you compare prices, you also need to understand how the arrangement supports your ability to make changes later.

What will your next provider need to know?

A useful way to assess an IT contract is to imagine handing your environment to another competent team.
Could they understand what runs where, obtain the access they need and identify which business services depend on each system?
Would your company know who can authorise changes?

They will still need time to learn your environment. The question is how much they will have to rediscover.

Before signing or renewing, start with these four questions:

  1. Can your company obtain the administrative access it needs through an agreed, secure process? - Access

  2. What records are maintained, how often are they updated and can your company access them? - Documentation

  3. Is it clear what the provider manages, what your internal team manages and where other suppliers are involved? - Responsibilities

  4. What assistance is included if you leave, what costs extra and how will the handover work? - Transition Support

The answers give you something more useful than a promise of a “smooth transition”. They give you a basis for planning one.

Look beyond the monthly fee

Before you choose a provider, ask them to walk you through a handover. What would your company receive? Who would coordinate the work? How would access be transferred, and what would the assistance cost?

Clear answers help you compare proposals on more than price. They also give your internal team a better understanding of what it will be able to manage throughout the relationship.

If you are considering a provider change, Hopp Solutions can help review your current infrastructure, identify missing access and documentation, and plan the transition around the services your business depends on.
